Payment and Deposit Policy

1. Quote and pricing
Each booking uses a custom quote based on the event date, location, service window, guest count, staffing, travel, venue requirements, and approved additions. A quote is valid until its stated expiration. Submitting a request does not reserve a date, and an expired quote may require updated pricing or availability.
The accepted quote states the total price and deposit, if any. Taxes, travel, parking, venue charges, processor charges, and additions are included only when stated. Akako House will not direct company payments to an ambassador's or employee's personal account.
2. Quote acceptance and reservation
The customer accepts a quote by reviewing the quote and active policy versions, checking the agreement box, and submitting acceptance before expiration. Akako House records the accepted policy titles, versions, text, customer identity, time, and available technical acceptance information.
Quote acceptance creates a booking subject to the deposit deadline and continued compliance with these policies. If no deposit is required, the booking may proceed directly to assignment and final-payment preparation.
3. Deposit
When a deposit is required, it is due within 48 hours after quote acceptance unless the quote provides a different deadline. The deposit reserves operational capacity and supports planning, partner coordination, and committed event costs.
If the deposit is not received by the deadline, Akako House may cancel the booking, release the reserved ambassador or date, and require a new quote. Payment is effective when the payment provider confirms successful collection, not when a customer merely begins checkout.
4. Final balance
The final balance is due no later than 24 hours before the scheduled ceremony unless the quote states an earlier deadline. A booking made or accepted inside these windows may require immediate payment.
If the final balance is not received by the deadline, the booking may be marked at risk, paused, modified, or cancelled. Akako House will communicate the available options, taking account of committed costs and the proximity of the event.
5. Payment methods
Payments must be made through the approved payment options shown by Akako House. Online payments may be processed by a third-party payment provider. Akako House does not store complete payment-card numbers in its booking system.
Exceptional onsite cash payment requires advance authorization and an Akako House receipt. Customers should not give company payments to an individual partner or employee without an authorized receipt process.
6. Failed payments, disputes, and chargebacks
The customer is responsible for providing valid payment information and addressing a failed or reversed payment promptly. A chargeback does not automatically determine that a refund is due. Akako House may provide the accepted quote, policies, communications, payment record, and delivery evidence to the payment provider when responding to a dispute.
Nothing in this section limits a customer's lawful right to dispute an unauthorized or incorrect charge.
7. Additional charges
Customer-requested additions or material changes may result in an updated quote or written change authorization. Examples include added guests, time, service stations, travel, parking, special equipment, venue-required changes, and services outside the agreed scope.
Akako House will seek written approval before incurring a material optional charge whenever practicable. Emergency safety measures do not create authority for unrelated additions.
8. Gratuities
Gratuities are optional. Akako House personnel and partners may not pressure customers or guests for gratuities. Any gratuity processed through Akako House is handled under the company's written compensation practices.
9. Receipts and refunds
Akako House provides or retains payment confirmation for amounts received. Approved refunds are generally initiated within ten business days after approval and are normally returned through the original payment method. Financial institutions and payment providers may require additional processing time.
Refund eligibility is governed by the Cancellation, Rescheduling, and Refund Policy, the accepted quote, and applicable law.
